Managing Gift Cards

All gift cards, bought, created by hand or imported, are in Orders > Gift cards.

Overview​

The top of the page shows:

  • Active cards
  • Purchased in the last 30 days
  • Redeemed in the last 30 days
  • Total unredeemed balance on active cards

The list shows the Code, Balance, Initial amount and Created at of every gift card. Gift cards that don't belong to an order, e.g. created by hand or imported, are marked Manual.

Gift card details​

Click a gift card to open its details. The code is hidden until you click to show it.

Gift card details shows the remaining balance, name, description, sales channel, the order it was bought in, the code, the expiry date (Valid until) and when it was created. For personalised gift cards, it also shows the Recipient (with e-mail address), From, Personal message, Send on date and when the e-mail was sent (E-mail sent at).

Download downloads the PDF of the gift card.

Resend email sends the gift card e-mail again, to the address you enter. The e-mail address of the original order is shown for reference.

Transactions​

Gift card transactions lists every change of the balance, with its amount, comment and date: redemptions in orders, reverted redemptions of cancelled orders and manual transactions.

To change the balance by hand, click New transaction, choose Top up or Redeem, enter the Amount and a Comment, and click Add transaction. Use this, for example, when a gift card is used in your physical store.

Create a gift card by hand​

Click Create gift card in Orders > Gift cards, e.g. for a goodwill gesture or a prize. Choose:

  • the Sales channel it can be used in,
  • the Gift card type (Product): the gift card product whose design, validity and settings are used,
  • a Name and Description,
  • the Balance and its Currency,
  • the Language of the PDF and e-mail.

A gift card created by hand is not e-mailed automatically. Open it and use Download or Resend email to hand it over.

In an order created in the Administration​

You can also add a gift card product to an order you create in Orders > Add order. For a flexible gift card, the price you enter for the line item is the amount of the gift card. The gift card is created and sent like a gift card bought in the Storefront.

Import and export​

Shopware's import/export (Settings > Import/Export) has the profile type Gift card. Create a profile with this type to export your gift cards, or to import existing gift cards, e.g. when you move from another system.

Permissions​

In Settings > Users & permissions, the permission Gift card design controls access to the gift card designer.
